Japan Immigration Additional Document Requests: Three First Steps
IMMIGRATION · ADDITIONAL DOCUMENT REQUESTS
Asked for more documents by Japanese immigration?
Start with the deadline and the request.
Before collecting more paperwork, read the notice carefully. These three steps help you organise what to do from receipt through submission.
Initial steps for work, family, Business Manager and permanent residence applications · Checked 26 October 2026
Watch the three first steps
A request alone does not tell you the outcome.
Identify the deadline and prepare evidence that answers this particular request. Follow the actual notice and the responsible immigration office’s instructions.
- 1. Check the deadlineWhen, where and how to submit
- 2. Answer the requestMatch evidence and explanations
- 3. Confirm submissionSave the final version and records
1. Save the whole notice and identify the deadline
Check the deadline first. Make sure the applicant, reference number and application type match your application. Identify the recipient and submission method. Keep every page, including the envelope or email and attachments.
If a document will not be ready, identify what is missing and when you expect to obtain it. Contact the office on the notice before the deadline. Do not assume that contacting someone extends the deadline. Keep a record of the instructions you receive.
2. Match the evidence and review your original application
Write down each requested item and the document or explanation that answers it. Separate items you can prepare yourself from those you need from an employer or accepting organisation, and set expected completion dates.
- What is requested? Check the person, period, specified form and whether an original is needed.
- What answers it? Identify the evidence, explanation and any outstanding items.
- Does it match the application? Compare names, dates, employer details and job duties with your copies.
If circumstances changed after applying, explain what changed and when, supported by evidence. Do not fill gaps with assumptions. Focus on the actual request.
3. Follow the instructions and keep submission records
Before submitting, check that you have answered the request and included the necessary pages, signatures and attachments. Follow the notice and current official guidance for the recipient, submission route and file format.
For online applications, the Immigration Services Agency’s Q&A instructs users to submit PDF evidence through the system together with the declaration concerning attached documents, Reference Form 9. It says documents already submitted with the application do not need to be attached again. Check any different instructions in your individual notice.
Keep the final documents, submission date and transmission, receipt or delivery records. Selecting files on a screen is not the end of the process: confirm successful submission.
Common questions
Does the request mean a refusal is likely?
The request alone does not establish the outcome or reason. Start by understanding what immigration needs to clarify and answer with evidence and explanations.
Is more paperwork always better?
Focus on answering each requested item. A clear connection between the request and supporting evidence is more useful than unrelated additional documents.
Does an enquiry start deadline management?
An enquiry alone does not start an engagement or transfer responsibility for your deadline. We first check scope and availability before a quotation and agreement. An enquiry does not extend the submission deadline.
Ask about support with an additional document request
Use the form to tell us the application type and submission deadline. Have the complete notice, copies of the application and earlier evidence, and the documents ready so far available. We will explain how to share them.
If you want a quotation for application support, please say so. An initial paid consultation is not always required. Individual document review or advice on your response may involve a fee.
